Resident Newsletter - Feb. 27, 2026
There’s always something moving at Roadhaven. Check out this week’s newsletter for community updates and important reminders. Take a few minutes to catch up, stay informed, and see what’s ahead around the Resort. But first, let’s congratulate Dennis Medin who is the 2026 Alberta Wildrose Golf Tournament winner!
Did you know there more to vote on than Board candidates, including:
- Special Assessment
- Rec Hall and Amin office seasonal hours
- Special Election Schedule
- Petition Signature Increase
Not submitting a vote is not the same as voting “No”. Your vote is your voice, make it count. Every ballot counts towards the required quorum. Low participation can impact whether the HOA reaches the required quorum.
Without a quorum important community decisions cannot move forward. Click on the box below to learn more about quorums.
VOTING DEADLINE
Voting closes at 3PM (AZ Time) on March 09, 2026.
Please be sure to submit your ballot before the deadline.
HOW MANY VOTES TO PASS - UNDERSTANDING A QUORUM
Roadhaven has 1,060 lots. This means 1,060 possible votes in an election. This includes paper and electronic ballots. When the community wants to change (amend) the CC&Rs or pass a special assessment, two things have to happen:
1. Quorum. A quorum must be met. Meaning, enough people have to vote.
2. Approval majority. Meaning, enough of those votes are “yes.”
TO APPROVE A SPECIAL ASSESSMENT:
(CC&Rs sections 6.4 and 6.5)
First Voting Round
Of the total membership, 60% must submit a vote (quorum). With 1,060 lots, that means at least 636 ballots must be received. Then, two-thirds of the ballots cast must be “yes” for it to pass (approval majority). If fewer than 636 ballots are submitted, quorum is not reached and the vote fails due to insufficient participation.
Second Voting Round (if needed)
If quorum is not reached in the first round of voting, a second voting round may be held. In that round, only 30% of the membership must submit ballots, which would be 318 ballots.
Again, two-thirds of the ballots cast must be “yes” to pass the special assessment.
TO CHANGE THE CC&RS (AMENDMENT):
(CC&Rs section 8.3)
- More than 50% of all eligible (in good standing) members have to vote. In this example, we will assume everyone is in good standing, and all ballots are valid. 50% of 1,060 (total lots) is 530. So that means at least 531 (50% + 1 lot) must vote.
- Then, two-thirds of the people who voted (in this example, 354 is two-thirds of the 531) must vote “yes” on the item for the CC&R amendment to pass.
This is why every vote matters. No matter what your vote is, be sure to submit your paper or electronic ballot by March 09 at 3PM (AZ time).
Street Closures for Asphalt Resurfacing
Take a look at the map to see when your street is scheduled for closure. All vehicles must be completely off the street surface during resurfacing. Any vehicle left on the roadway will be towed, and the towing fee will be charged to your HOA account. Please review the PDF below which contains a two-page map, including the instructions and the color-coded street schedule.

Emergency Preparedness: Block Captains Needed
We are looking for 6 volunteer Block Captains, one for each block, and 1 Assistant for each block to help as a backup. This is part of our Resort Emergency Plan. Interested parties are welcome to attend the next group meeting on Fri. March 6 at 7AM in the Board Room.
Block Captains help their neighbors get ready for emergencies. They get to know the people on their block, learn about any special needs, keep a basic first aid kit, share important information during emergencies, and help guide neighbors if they need to leave or take shelter. Captains also attend simple trainings and practice drills so they know what to do in a crisis.
If you are responsible, stay calm in tough situations, and want to help your neighbors, we would love to have you on the team. Please email Sarah at roadhavencrem@roadhaven.com if you are interested. See the maps for reference.

Employee of the Month
We are excited to announce Mary Ortega as our Employee of the Month!
This season brought additional demands with the heightened election cycle, including multiple rounds of documentation that needed to be distributed to residents. Each and every time, Mary had the information flyers prepared and in residents’ hands almost instantly. Her reliability, efficiency, and attention to detail in managing the mailroom are truly impressive.
On top of that, this year brought changes to the clubs’ marketing process, resulting in numerous requests for small flyers to be delivered to residents’ mailboxes. Mary stepped up without hesitation—organizing, coordinating, and completing each distribution quickly and seamlessly.
Mary consistently keeps the mailroom running like a well-oiled machine. It is remarkable how efficiently mail is processed and delivered for 1,060 units. Even more impressive is her personal touch—she knows residents by name and unit number, reflecting the care and pride she takes in her work every day.
During the recent mailroom focus group with residents and board members, Mary confidently presented ideas, shared thoughtful insights, and clearly explained the mailroom processes. Her professionalism and depth of knowledge were evident, and she represented her department exceptionally well.
Mary’s dedication, organization, and positive can-do attitude make a noticeable difference every single day. Her hard work does not go unnoticed, and she is absolutely deserving of this recognition.
Please join us in congratulating Mary on being our Employee of the Month!
