Town Hall Open Forum Q&A

Below, are the answers to the questions asked at the last Town Hall Open Forum.

You don’t need a permit from Security for gatherings. But a few years ago, we started asking residents to fill out a simple form if they have more than 20 people. This is just to let the Security team know so they can help if needed and make sure emergency vehicles can get through.

This rule was first made on April 8, 2014, and it hasn’t changed. In March 2024, we added a sentence to say that Roadhaven Management or a management-delegated individual needs to be told and approve any emergency repairs during off-hours.

We don’t buy new golf carts every year. Most of the carts we get are used and bought only when needed. The two carts purchased in November 2024 were used and helped solve some problems. At that time, the administration office only had one cart for five staff members, which made things hard to manage. These carts helped make things run more smoothly.

Roadhaven is a planned community. In a planned community or Homeowners Association (HOA), all lot owners must be members. There are four main parts of an HOA:

  • All owners are automatically members.
  • There are rules that everyone must follow (Governing Documents).
  • Owners pay fees (HOA Assessments) that are used to run the community.
  • Everyone shares an interest in the community area property.

This is different from being a shareholder.

Billiards Club offered to pay for the supplies, not the labor. Roadhaven paid for the labor.

This was a simple mistake. All questions, comments, and concerns from the Open Forum were still written down and included in the OBM minutes.

The Board has said they plan to review the budget in January, make changes in February, and then share the final budget before the AGM in March. Yes, this is still the plan for the season.

We previously rented water machines that used a lot of water, wasting 4-5 gallons for every gallon of water given out. To save water, we replaced those machines with our own machines that don’t use as much water and added a third one. This change helps us save water while making sure the machines stay clean and work well for everyone.
