With temperatures rising, it’s important to stay cool and hydrated! We’ve got plenty to go over this week – from February birthdays to, understanding quorums, and the Golf Marshal Program, let’s jump in!

VOLUNTEER MARSHAL PROGRAM

Dear Residents,

I want to take a moment to update you on the status of the Volunteer Golf Course Marshal program. 

After careful consideration, we have decided to place a temporary hold on the program to ensure that all necessary components are properly aligned before moving forward.

When implemented correctly, this program can provide significant advantages, particularly in terms of safety, course etiquette, and our legal requirement to report rounds played each year. The goal is not to be rigid or militant but rather to foster a friendly and welcoming golf experience for all.

There are many moving parts that require collaboration between the Golf Advisory Club, the Golf Shop team, the Volunteer Golf Marshals, and the broader community. Clear communication is essential to ensure that everyone understands the program’s purpose and how it benefits our community.

In hindsight, launching the program during peak season was not ideal as it requires extensive communication with all parties involved. We want to be thoughtful and deliberate in our approach to set the program up for long-term success.

Thank you for your patience and understanding as we navigate these changes.

BOARD OF DIRECTORS

A minimum number of people are required (quorums) for changes or actions:

  • Amendments to the Roadhaven Resort CC&Rs, Articles of Incorporation, or Special Assessments — More than 50% of eligible members (531 of 1,060) and a two-thirds (2/3) approval majority (at least 354 votes)
  • Annual General Meeting (AGM) — 10% of eligible members (106), including in-person and Zoom participants and paper and electronic ballots
  • Board of Directors — 50% +1 (4 of 7 members, including Zoom participants) for all meetings
  • Bylaws, policies, and rule changes — Board approval at an Open Board Meeting after being read twice at separate meetings

FORENSIC IT AUDITS

The topic of forensic audits was brought up at the recent Town Hall. So we asked our internal IT services for more information:
Our IT Services Team does not conduct forensic audits, but we continuously monitor the network to keep it secure and updated.

They use tools to monitor:

  • Device activity, change logs, details, and storage
  • Installed software and patch summaries
  • Microsoft audits and alert monitoring

Our services include:

  • 24/7 Automated Network Monitoring — We look at network health, endpoint security, patch management, and alerts.

     

  • Quarterly Manual Network Security Audits — We last performed a Security Audit on October 7, 2024 (Report # T20241007.0014.001). Some checks are limited due to the current Microsoft Office setup.
  • Annual External Vulnerability Scans — We do comprehensive network scans, open port and password vulnerability tests, and assessments using the Common Vulnerability Scoring System (CVSS). We also prepare detailed reports that include recommendations.

GOLF UPDATES

Our Golf Course is very busy this time of year! Last-minute tee times are getting harder to find, so try to book yours a day or two in advance to get the time you want.

To help us stay on schedule, please have your whole group check in at the Golf Shop at least 10 minutes before your tee time. If you need to pay or rent equipment, arrive even earlier. If you’re ready and checked in, we might even get you out a little early!

Remember to play “ready golf.” Tee times are set every 7–8 minutes, and a group of four should finish 9 holes in about an hour. We want everyone to enjoy the course, so please keep the game moving. Our volunteer Marshals are here to help with that.

Wear your ID badge at all times.

If you’re golfing after hours, please use the honor system. Members, fill out a slip; non-members, place payment in an envelope. Both go into the slot in the Golf Shop door. It’s important for us to track all rounds played as it is required by the State of Arizona for all golf courses. Thank you for helping us keep the course running smoothly!

FROM THE MAIN OFFICE

The Lost and Found in the Main Office has numerous jackets and outerwear, most of them coming from the Pickleball Courts. If you’ve misplaced an item, check in with the Main Office as soon as possible. We will donate unclaimed items at the end of February.
